Purchase Orders Without the Clipboards

A practical guide to purchase orders and vendor receiving on NoPOS: draft POs from low-stock signals, receive partial shipments, and reconcile cost changes without spreadsheet surgery.

The NoPOS developer relations team writes practical guides for building on the NoPOS REST API — from first smoke test to production POS.

Running out of your best seller on a Friday night is a purchasing failure, not a sales problem. NoPOS turns restocking into a loop: low-stock signals become draft purchase orders, deliveries reconcile against the PO, and cost changes land in inventory valuation automatically.

Draft POs from real signals

  • Generate draft purchase orders from low-stock thresholds and sales velocity, per location — not from gut feel on Sunday night.
  • Keep vendor catalogs (SKU, pack size, unit cost) attached to the PO so the same item from two suppliers never forks your catalog.
  • Split one PO across locations or delivery dates without duplicating line items.

Receive what actually arrives

  • Receive partial shipments against the PO and keep the balance open until the vendor completes it.
  • Flag shorts, overages, and damaged units at receiving so the invoice match starts clean.
  • Require a second set of eyes on high-value receipts, and log who confirmed each delivery.

Reconcile cost without spreadsheet surgery

  1. Accept vendor cost changes at receiving and let weighted-average cost update forward — history stays intact.
  2. Match the vendor invoice to received quantities, not ordered quantities, before approving payment.
  3. Review vendor fill-rate and lead-time reports each month and renegotiate the slow ones.

Use Swagger UI or OpenAPI for the current purchase-order, receiving, and vendor request shapes.
